A new patient is an individual who has never been treated in your clinic or has not been seen in your clinic in three years or more. An established patient is a patient who has been seen in your clinic within three years.
If a patient has not been seen in your clinic by a physician for at least a year, you may be asked to place his/her manual record in the inactive file. If the patient has not come back to the clinic in two years, you may be asked to place his/her medical record in the closed file. If the patient has not come back to the clinic in three years, you may be asked to purge the manual record or transfer it to a storage company like Iron Mountain. Patients who have been non-complaint with treatment or who have never been seen in a clinic could be required to fill out new or additional documentation.
